In a nutshell, the two
ways to receive mail are:
POP3 and IMAP
There are several links which explain the difference, which range
from very technically detailed to rather simply explained.
The latter may be found at Reading mail: POP vs.
IMAP.
In it's simplest form, POP accounts are configured on the computers
in your organization*, and IMAP accounts are accessed on the web,
from any computer with web access.
For now, suffice it to say, you may have as many e-mail addresses
as you have employees in your organization (or even more!).
Generally, they are something like
first.lastname@yourcompany.com
but can be
AnythingYouWant@yourcompany.com.

With any e-mail service, empty your e-mail's trash folder on a
regular basis to prevent space being used on your server /
